How to reduce missed appointments at a veterinary clinic

Updated 2026-10-01 · 3 min read

An appointment nobody turns up to is an hour of consulting time that doesn't come back. The vet is there, the room is ready and the animal that could have taken that hour is on another list, waiting for next week.

It happens at a clinic more than you'd think, and not out of bad faith: many appointments are booked weeks ahead —the check-up, the second dose, the follow-up after an operation— and in weeks there's plenty of time to forget.

The reminder that asks for a reply

A reminder that only informs does little. The one that works asks for confirmation: «tomorrow at 10:30 it's Toby's check-up, can you confirm?». People who aren't planning to come usually say so if you make it easy, and that «I can't» with a day to spare is worth as much as a new appointment.

With ClaudIA the reminder goes out on its own the day before, with the pet's name and your clinic's wording. Whoever confirms is marked in the calendar; whoever can't come cancels in the same conversation and their time is freed at once.

The free time, for whoever was waiting for it

A cancellation with a day to spare only helps if someone finds out. At most clinics the waiting list is a piece of paper at reception, and between consultations nobody remembers to look at it.

With the waiting list inside the calendar, when an appointment is cancelled ClaudIA lets whoever was waiting for that day know and gives it to the first to say yes. If there's no answer within a few hours, it offers it to the next person. Nobody on the team has to call.

What's worth checking at your clinic

Before choosing a tool, it's worth looking at these five points:

What to look atWhy it matters
Does the reminder ask for confirmation? It turns silence into information: you know who's coming and who isn't.
Can people cancel from the message itself? If cancelling takes a phone call, many people simply don't come.
Does the waiting list notify people on its own?A free time mid-morning only gets filled if someone offers it there and then.
Can you see unconfirmed appointments in the calendar?Who hasn't confirmed is visible at a glance, before opening.
Do you know how many appointments are lost?Without the month's figure, any improvement is just an impression.

When the reminder is what fails

There's a cause of missed appointments almost nobody looks at: the reminder doesn't arrive. If the clinic's WhatsApp runs through Meta's official route with its 24-hour window, a reminder to someone who hasn't written for weeks needs an approved template, and it often doesn't go out. ClaudIA works with the session of the clinic's own WhatsApp, linked with a QR code, so the reminder arrives like any other message.

Questions clinics ask

When does the appointment reminder go out? The day before, with the wording you choose and the pet's name. It asks for confirmation, and whoever can't come cancels or changes the appointment in the same conversation.

What happens to the time that's freed up? If someone is on the waiting list for that day, ClaudIA lets them know and gives it to the first to say yes. The calendar updates on its own.

Can I see who hasn't confirmed? Yes. The calendar shows which appointments are confirmed and which aren't, so reception knows whom to check before opening.
