Setting up an AI assistant at your veterinary clinic, step by step

Updated 2026-10-18 · 2 min read

ClaudIA Vet is up and running in a day. There's nothing to install: you need the clinic's WhatsApp, the list of services with their duration and room, who does what and the opening hours. A setup assistant takes you step by step, and in the demo we get it ready with you.

Step 1 · Connect WhatsApp

You scan a QR code from the clinic's phone, as when you open WhatsApp on a computer. The number doesn't change and you keep using it as always; ClaudIA answers in parallel. If the clinic has a professional Instagram account, it's connected the same way and its messages arrive in the same inbox.

Step 2 · Services, rooms and team

Each service with its real duration, who can do it and the room it needs: the consultation, the vaccine, the operation with its theatre, the X-ray with its room, the bath in the grooming room. Each vet and each nurse with their hours and absences. With that, ClaudIA only offers what genuinely fits.

On preventive services you set how often they repeat, and on check-up services, how often it's worth coming back: that's where the per-pet reminders come from.

Step 3 · Emergencies and tone

You write your emergency number, whether you work 24 hours and what to say out of hours. If you like, you keep some times of the day for emergencies. And you write down the clinic's own instructions: how it introduces itself, which services aren't booked on WhatsApp and where to refer what the clinic doesn't do.

Step 4 · The clients

Clients are brought in from a CSV from your previous software or from the phone's contacts, without duplicate records. Pets are added on their owner's record, and from that day their appointments and reminders go under their name. The clinical history stays in your veterinary software.

Questions clinics ask

How long does it take to get started? It's up and running in a day: WhatsApp is connected with a QR code and the rest is set up with a step-by-step assistant.

Do I have to install anything? No. The dashboard works in the browser, on the reception computer or on your phone.

Are the pets imported too? The import brings in the clients. Each pet is added on its owner's record, the first time it comes in or when the team has a moment.
