«Time for a check-up»: how to win back patients who stop coming to the clinic

Updated 2026-10-18 · 2 min read

Most patients who stop coming to a clinic haven't gone to another one: simply nobody reminded them it was time to come back. A well-made check-up recall —at the right moment, with the pet's name and the appointment one message away— brings many of them back.

An interval per service, a clock per pet

Not everything repeats at the same pace. The annual check-up, the senior check or the follow-up after a treatment each have their own interval, and the clinic decides it. In ClaudIA that interval is set on each service, and the clock runs per pet from its last completed visit.

Vaccines and worming are separate, with their own schedule per pet and per treatment, so a visit of another kind doesn't wipe out their reminder.

The message: once, with its name and the appointment to hand

When the interval is up, ClaudIA writes to the owner once, with the pet's name. If they say yes, it suggests times and books the appointment in the same conversation. If they don't answer, they get one gentle reminder and that's it: the recall has to be something people appreciate, not something they mute.

CaseWhat ClaudIA does
Already has an appointment bookedIt doesn't write
Asked not to receive messagesIt doesn't write
Didn't turn up to their last appointmentIt doesn't write as if nothing had happened
Interval is upIt writes once, with the pet's name
No replyJust one more gentle reminder

What to look at afterwards

The dashboard shows who was written to, who replied and who left with an appointment. With that the intervals get adjusted: if a check-up is booked on its own before the recall arrives, perhaps the interval is too long; if almost nobody replies, perhaps the text needs another look.

Questions clinics ask

Who decides how often the check-up is due? The clinic, on each service. ClaudIA counts the time since each pet's last visit and sends the recall when it's up.

Does it write several times if they don't answer? No. One message and, if there's no reply, just one more gentle reminder.

Is it the same as the vaccine reminder? They run separately. Vaccines and worming have their own schedule per pet and per treatment.
