Veterinary software with WhatsApp: what it really has to do

Updated 2026-10-18 · 3 min read

Veterinary software with WhatsApp is useful when it answers with the clinic's calendar behind it: it books the appointment there and then, reminds the owner, gives notice of what each pet is due and takes anything urgent to the team. If it only sends loose messages or opens a menu of options, reception is still doing the work.

These are the five things worth checking, with what ClaudIA Vet does for each.

1. That it answers with the real calendar

The owner wants a time, not a «we'll call you». The software has to look at the free times of each vet and each room —theatre, X-ray, grooming— and book the appointment in the conversation. ClaudIA does it with the same calendar reception sees, so a time given on WhatsApp stops being offered on the other channels instantly.

2. That the messages arrive

This is the technical difference you notice most. With Meta's official API, writing to someone who hasn't written in the last 24 hours requires an approved template, and that affects exactly the reminders and the vaccine alerts. ClaudIA works with the session of the clinic's own WhatsApp, linked with a QR code: the usual number, with no 24-hour window.

3. That it thinks in pets, not just clients

At a clinic the client is the owner and the patient is the animal. The appointment, the reminder and the vaccine alert have to go under the pet's name, and if the owner has three, the software has to ask which one. ClaudIA keeps a record per pet inside its owner's record.

4. That it knows what not to answer

Health and medication questions arrive on WhatsApp. Software that answers them is a risk for the clinic. ClaudIA doesn't assess health or talk about medication: it takes the reason, alerts the team at once and offers the first appointment.

5. That reception can step in whenever it wants

In any conversation someone on the team has to be able to take over. In ClaudIA, as soon as a person replies, the AI steps aside in that chat until it's switched back on.

Questions clinics ask

Do I have to change the clinic's WhatsApp number? No. The usual number is linked with a QR code and your clients keep writing to the same one.

Can I keep using WhatsApp on the clinic's phone? Yes. The number stays on your phone as always and ClaudIA answers in parallel. If someone on the team replies, from the phone or from the dashboard, ClaudIA steps aside in that conversation.

Does it replace my veterinary software? There's no need: the clinical history stays in your software, and ClaudIA handles answering, the calendar, reminders and the till.
