Several pets per family: how to keep one record per patient

Updated 2026-10-08 · 2 min read

At a veterinary clinic the client is the owner, but the patient is the animal, and one family can bring two dogs and a cat. When the practice software only understands clients, appointments end up written as «García — dog» and nobody knows which of the two came for the check-up.

One record per pet

In ClaudIA each owner has their pets, and each one its record: species, breed or mix, sex, date of birth, microchip number, whether it's neutered and the handling notes the team adds over time. «Needs two people to hold him» is read before going into the consulting room, even if whoever sees him has never met him.

Health and allergies have their own section, and the assistant never reads that section: it's information for the team, not for a WhatsApp conversation. The clinical history stays in the clinic's veterinary software.

The appointment, under the animal's name

When an owner with several pets asks for an appointment, ClaudIA asks which one it's for and books it under that name. The calendar shows «Kira's check-up», not «Marta's appointment». If two come on the same day, that's two appointments, each with its own duration.

And the reminders, per animal too

Reminders carry the pet's name, and vaccine or next check-up reminders are calculated per animal, not per owner. If two pets in the same family have something due in the same week, the owner gets a single message covering both.

Questions clinics ask

Does ClaudIA read the pet's health and allergies? No. That section is for your team only and never reaches the assistant.

What happens if an owner with three pets asks for an appointment? ClaudIA asks which one it's for, offering their names, and books the appointment under that pet's name.

Does it replace my clinical records? No. The clinical history stays in your veterinary software. ClaudIA keeps what's needed to answer, book appointments and send reminders.
